BACKGROUND:
The City first contracted with SunGard Public Sector, LLC, hereinafter "SunGard," to provide Pentamation Software license and maintenance services in 2001. The original 2001 Agreement has been amended four (4) times and has included additional software Add-Ons over the last fifteen (15) years.
The purpose of this Agreement is to enter into a new contract with SunGard to provide the City with maintenance and support services for the FinancePLUS 4.3 and CommunityPLUS 8.1 software systems, commencing on the execution date and expiring September 30, 2017, with automatic annual renewals thereafter unless terminated.
DISCUSSION:
Recently, SunGard provided optimization training to applicable City employees to ensure that staff is utilizing the software to the fullest possible extent and to determine if the City should continue using the Pentamation software or select new software to handle programs primarily utilized by Human Resources, Code Enforcement, and Finance and Administrative Services.
It was determined that it is more cost effective to continue with Pentamation and upgrade it to further meet the City's needs rather than to start with a new software provider. Instead of amending the 2001 Agreement again, a new agreement is before you at this time that will supersede the 2001 Agreement, all amendments, and software Add-Ons. This will consolidate and simplify our records because the entity known as SunGard has changed names many times, which has made it difficult to track the status of the Agreement, various amendments, and Add-Ons.
The annual maintenance renewal is $67,749.33 and the upgrade portion of this Agreement, which includes custom modifications, development, and third party products, is a one-time fee of $44,360. Our current...
