BACKGROUND:
As the City of Coconut Creek's infrastructure and facilities age, it is important to keep accurate record of the City's owned assets to determine their cycle and life span, which also translates to accurate budgeting. The City currently uses the Community Plus work order system, which has been useful but also has limitations as far as asset management. Since 2019, City staff reviewed several asset management software platforms and the Geocortex system was deemed best suited for the City needs and meets all City requirements, including versatility and cyber security.
DISCUSSION:
Staff looked to streamline the City's infrastructure maintenance management process. Geocortex was vetted by staff, including the IT Governance process for usage and cyber security. It is a non-cloud based operations management software, which automates workflow and provides reporting of City assets, including their maintenance. The software will also allow staff to submit work orders from the field, as well as route and track them in real time, increasing accuracy and efficiency. Geocortex will utilize current and existing Community Plus and GIS databases. During the review period, staff evaluated the Geocortex software package as part of a pilot program at no cost. The next step will be implementation and issuance of the first yearly software licenses for staff to use and customize, with a service cost not-to-exceed $22,750. Following a successful implementation and integration of Geocortex, the City will purchase yearly renewal licenses for end users.
RECOMMENDATION:
Staff recommends approval of this resolution.
